Scanning Assets with QR Codes
Scan asset QR codes from your phone to open asset history instantly and log work in seconds instead of typing names.
Updated June 5, 2026
How it works
Every asset has a unique QR code on its label. Scanning it from the Scan tab on your phone opens the asset detail page immediately, with recent work orders, PMs, and history right there. You can log a new work order, open documents, or check parts compatibility without typing the asset name.
Workflows that save time
For reactive work, walk to the asset, scan it, tap New work order, and dictate the description in about 30 seconds. For PM execution, open today's PM, scan to confirm you are at the right unit, and the PM moves to In progress with the asset locked in. For lookups, scan to see the last work orders instantly. Find the scan button on the mobile bottom tab bar camera icon, or the desktop sidebar Scan entry.
Tips, privacy, and floor plans
Scan even when you do not strictly need to. Bad lighting kills scans, so use a headlamp or angle for a clean shot. Damaged labels still work if any corner squares are intact. QR codes encode only an asset's internal ID, so they are safe to post; outside scanners get a generic redirect. Combine scanning with floor-plan pins: scan to open the exact asset, then use location context to understand nearby equipment and confirm the record is pinned correctly.
