Labor Tracking
Log technician hours on work orders to produce real cost-per-asset, capacity planning, and calibrated PM estimates.
Updated June 5, 2026
Logging time
In a work order's Labor section, record technician, hours as a decimal (1.5, not one hour thirty), rate type (standard, overtime, weekend, holiday from Settings then Roles), and notes. Technicians can log multiple entries per work order, such as diagnostic and repair on different days.
Why it matters and how to log
Without labor data, cost per asset reflects parts only, capacity planning fails, and PM estimates stay uncalibrated. Real-time logging gives the best accuracy and suits long or multi-day jobs; end-of-day batch timesheets lower friction for short work. Rates are configured per role (or per technician) under Settings then Roles then Labor rates, including standard rate, overtime multiplier (default 1.5x), weekend, and holiday. Rate type defaults from day and time but can be overridden.
Reports and tips
Labor feeds cost per work order, cost per asset, technician utilization (booked over available hours under Analytics then Operations), and PM template calibration. Round to 0.25, log diagnosis time separately since it is often the most expensive part, and always mark overtime to avoid understating cost.
